Privacy Policy

Your contact, travel and dietary details deserve careful handling. This policy explains the information used to respond to enquiries, arrange meals and manage tour pre-orders.

Last updated: 1 November 2026

Information collected

Depending on the service you use, information may include your name, email address, contact details, travel dates, destination, delivery details, group and guide names, guest numbers, meal selections and messages you send us.

Tour documents may contain itineraries, guest names, room or party details and other information supplied by the organiser. Staff and guide accounts also involve an email address and sign-in information.

Allergy, intolerance, medical-diet and kosher requirements can be sensitive information. Please share only what is necessary to assess and prepare your meals, rather than a full medical history.

Why information is used

Information is used to answer enquiries, prepare quotes, arrange and deliver meals, match guests to their tour selections, maintain catering checklists, communicate order changes and resolve problems.

Account and technical information is also used to manage access, protect the service and investigate errors. If required details are missing, we may be unable to confirm a meal’s suitability or complete an order.

Information supplied for other people

If you upload a rooming list or submit details for guests, ensure you have authority to share that information and let them know it will be used for tour and meal arrangements. Avoid including unrelated personal details in uploaded documents or notes.

Sharing and service providers

Relevant order and dietary details may be shared with the assigned guide, authorised administrators, tour organiser, supplying restaurant or kitchen, and delivery providers as needed to fulfil the arrangement.

The website uses Lovable Cloud and supporting providers for hosting, account access, storing records and processing documents. Automated document processing and translation may be used to extract itinerary details or translate meal notes. Check extracted information and translations before they are relied on for an order.

If you contact us or share an order through email or WhatsApp, those providers handle the communication under their own privacy terms. Service providers may process information outside New Zealand or Australia. You can ask us about the handling of your particular information before supplying sensitive details.

Guest links and account security

Guest order links are intended for the relevant tour group and may allow people with the link to view guest names and enter selections. Do not post them publicly or forward them outside the group. Contact us if a link has been shared in error.

Guide access to itineraries is restricted by account assignment. Keep passwords private and sign out on shared devices. No online system can guarantee complete security.

Browser storage and technical records

The website uses browser storage to maintain signed-in sessions. Hosting and diagnostic services may process technical information, such as request details and errors, to operate and troubleshoot the site. Clearing browser storage can sign you out.

Records, access and corrections

Submitted pre-orders may be retained alongside administrator amendments so the original request can be checked. Archiving an order removes it from the active list; it does not necessarily erase the underlying record.

Contact food@apf.nz to request access to or correction of your personal information, raise a privacy concern, or ask about deletion and retention. We may need to verify your identity. Some records may need to be kept to meet legal obligations or resolve an outstanding order or dispute.

If you are not satisfied with how a privacy concern is handled, you can contact the New Zealand Office of the Privacy Commissioner, or the Office of the Australian Information Commissioner where applicable.
